Chief Advancement Administrator (Fundraiser)
Reports to: President & CEO
Only candidates residing in North America will be considered for this position.
Job Summary
The Chief Advancement Administrator is responsible for overseeing, organizing, and executing fundraising opportunities to further the mission of Guidance College through fundraising as well as improving the functions of the institution.
Adjunct faculty member is optional depending on dated priority fundraising initiatives and academic credentialing. Works with the Institutional Effectiveness Administrator to achieve strategic planning and assessment goals and action plans as part of the institution’s accreditation journey.
Preferred Position Qualifications
Master’s degree (doctorate preferred) in business, finance, or leadership field. Financial professional education recognition/certification is highly recommended. Five or more years working in a post-secondary education (preferred) or administrative environment. Significant experience involving the preparation and execution of a comprehensive budget, making financial arrangement/contractual arrangements, working with varied software packages for maximum work productivity.

- Strong track record for organizational and execution skills.
- Ability to effectively work with all internal personnel, alumni, and external constituencies.
- Ability to articulate policies in agreement with the College’s mission, guiding principles, and educational philosophy for Islamic religious education; demonstrated the ability to identify, resolve conflicts, and issues involving the operation and goals of the College with a clear sense of institutional needs and priorities.
- Ability to work empathetically and productively with all members of the GC community.
- Ability to communicate well and model ethics in line with the Islamic values.
Duties & Responsibilities
Administrative Functions
- Works closely with other administrative personnel for achieving the mission of the College and its strategic initiatives.
- Oversees the fundraising activities of the College and supervises people needed to achieve fundraising goals.
- Works with President & CEO and Chief Financial Administrator for meeting budget priorities and purchases.
- Works with President & CEO and Chief Financial Administrator for providing budget oversight and fiscal control using written plans and procedures with variable ends.
- Oversees the receipts and management of donor accounts.
- Submits important dates, events, and deadlines for the institutional calendar in cooperation with other administrators.
- Keeps cordial relationships with vendors and other academic institutions and personnel.
- Contributes to organizational synergy by accomplishing related action plans with other departments via strategic initiatives.
- Maintains professional development for administrative issues within purview by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking state-of-the-art practices, participating in professional societies.
- Performs other related duties as assigned apart from fundraising.
Fundraising Advancement Functions
- Assists the President & CEO (as well as self-initiating) the advancement push of GC by locating and developing relationships for securing large gifts for endowment and projects; systematic/matching gifts from mosques, foundations, small businesses, and corporate groups; building estates in which GC is a beneficiary.
- Develops and grows a consistent small gifts program to support tuition revenue for the daily cash flow operating budget.
- Supports the development of Guidance’s Story for presentation in a variety of venues.
- Cultivates a multi-tiered database with appropriate contact strategies.
- Assists in meeting GC’s PR needs and marketing initiatives in collaboration with Student Services & Development.
- Oversees alumni relationships in collaboration with the President & CEO’s Office.
- Cooperates with the Institutional Effectiveness Administrator in meeting accreditation and institutional priorities associated with strategic planning and assessment.
- Contributes information about financial support for GC using the website, social media, and marketing outlets.
- Contributes to organizational synergy by accomplishing related action plans with other departments via strategic initiatives.
- Provides regular reports pertaining to advancement progress with the President & CEO, CQAI, and others as needed.
Salary, Other Compensation and Working Hours
This position requires a minimum of 40 hours per week. Salary is based on experience. Employee (Form W2) will receive IRA, life, and disability insurance.

Learning Resources Manager
Overview:
This is a three-month project. The purpose of which is to Identify resources to build the College’s collection of Islamic Studies. The LRS is responsible to the Chief Academic Administrator (CAA) for managing, developing, and promoting the delivery of learning resources and library services within Guidance College in a manner that will enable the achievement of the educational aims and objectives associated with GC’s distance education curriculum. The LRS will work with the Department of Institutional Effectiveness to ensure compliance with varying accreditors.
Key Responsibilities:
- Execute a digital collection development policy that implements, evaluates, maintains, and weeds learning resources for undergraduate and graduate academic programs.
- Audit the current resources and suggest changes and additions to the College’s collection.
- Manage the learning resources budget effectively and prepare reports for expenditures and effectiveness as well development needs.
- Ensure the effective and efficient use of learning resources management systems to maintain, and catalog records and monitor the use of resources.
- Evaluate materials such as journals, books and, various multimedia materials.
- Consult with IE to produce a report on the College’s collection of resources.
Preferred Qualifications:
- Knowledgeable and experienced with using both print and electronic information sources and databases that support Islamic religious studies and general education at the undergraduate level and Islamic economics & finance, and education at the graduate level.
- Able to use technology and use it to enhance the overall effectiveness of learning resources, including web-based methods of improving technological access to information.
- Knowledgeable and experienced in archiving and filing information as well as maintaining databases and standard references relevant with the curriculum
- Capable of evaluating learning resources and finding the best ones for addressing different questions or issues.
- Ability to rapidly search databases, internet resources, and catalogs to find needed information.
- Ability to communicate well with GC personnel as well as with all patrons and guests.
- Broad knowledge of learning resources. Should be well-read in a variety of genres and types of books (Islamic Studies, General Education, and Finance in particular) to advise readers as to good books for their reading level and their interests.
Supervision Given and Received:
- Determines own methods of performing assigned work where definite academic objectives have been established and requiring a wide range of procedures. Coordinates goals and action plans with the Institutional Effectiveness Administrator for achieving student learning improvement.
Accountability and Evaluation:
- Reports to CAA.
Preferred Position Qualifications:
- Master’s degree in library science or library information systems from an accredited school. Three or more years of professional experience in a library setting, academic or otherwise.

Grant Writer
Position Department: Marketing
Description: Responsible to the President & CEO and Chief Marketing Administrator (CMA) for researching, preparing, writing, and facilitating grant work appropriate to Guidance College’s mission and advancement priorities.
Duties and responsibilities:
- Implement the whole granting writing process from research to submission of proposals and submit 3–5 fully completed proposals per quarter.
- Develop grant writing standards (institutional profile) applicable to Guidance College; that is, standards distinguishing GC as the emerging Islamic higher education institution across the US and internationally.
- Execute a grant writing collection development policy that implements, evaluates, maintains, and weeds grant writing proposals with the Institutional Effectiveness Administrator.
- Promote and enforce the use of strategies in consultation with the President & CEO and Chief Marketing Administrator.
- Maintain a close working relationship with the Chief Financial Services Administrator.
- Conduct grant research suitability using a two-fold methodology:
(1) suitability research using GC profile with applicable grants for GC-specific funding needs from a grantor source; and
(2) research & write a mock-up “profile using the GC Profile Index.
Suitability volume ranges from 30 to 50 fits; #1 and written profile #2 range 20 and up. - Write and submit one new proposal every quarter of the fiscal year.
- Present updates to CQAI and keep members informed about upcoming deadlines and deliverables, thereby keeping the whole institution focused within annual planning cycle priorities.
- Respond immediately and readily to interested grantors for updating and looping in all relevant GC personnel in the loop.
- Provide regular reports to the President & CEO for keeping the Trustees knowledgeable and engaged in Guidance College’s fund-raising activities.
- Respond to institutional email within two business days and promptly for proposal work.
- Perform duties and responsibilities as a multi-tasker with the strong ability to work under on-demand timing pressures.
- Participate in one professional development opportunity annually and write a report.
Knowledge and abilities:
The Grant Writer & Facilitator must have demonstrated:
- Grant writing experience and assessment skills for improving Guidance College’s grant work.
- Understanding higher education non-profit operations and financials.
- Persistence in closing the whole grant writing loop of activities including long term outcomes with the grantor’s financial generosity.
- Communication evidencing proficient writing skill, oral conciseness, and empathetic listening skills for both sides of the organizational loop.
- Ability to use technology to enhance the overall effectiveness of GC’s advancement priorities.
- Research skills for culling pertinent information applicable to different grant proposals.
- Ability to project timelines and move the process forward toward realizable deadlines.
- Character to pace self-imposed work goals and apply proactive-initiative-taking solutions for challenges to completing the grant writing loop.
- Commitment to ensure confidentiality and use advisable discretion.
- Level of strong people service skills.
Supervision Given and Received: Determines own methods of performing assigned grant writing work where definitive advancement priorities have been set and coordinate final presentation work leading to a submitted proposal. Attentiveness direction given for writing proposals in Islamic cultural and religious contexts within Islamic communities and to entities favorable to higher education.
Accountability and Evaluation: Reports to President & CEO and CMA. Participates in an annual personnel review. Uses successes and denials of proposals to grow GC’s grant writing work.
Preferred Position Qualifications: Master’s degree in a business-related field and minimally two-three years’ work experience in the whole grant writing process with successful proposals to an organization.
